The Summary

The BBH Project Manager is responsible for the proactive management of the internal agency process through all stages of any project – forward planning, strategic development, creative development and production. The Project Manager contributes to the agency’s ability to deliver client satisfaction by ensuring each project is staffed correctly and delivered on time and to the highest possible standard for the agreed budget. They must play a client-facing role, responsible for possessing an intimate knowledge of the client’s process for approving work thus helping manage the agency work accordingly.

Key Responsibilities

Forward Planning

  • Responsible for working with their account teams to produce clear and accurate project plan/timeline for all incoming client briefs as far forward as possible including scope of work and potential dates for briefing, presentation and delivery.
  • Liaison between all appropriate production disciplines to ensure efficient co -production schedules when originating assets that will be shared among different media.
  • Work with Department Heads and Agency Resource Manager to plan most appropriate resource for each assignment.
  • Learn and master BBH Pro, BBH’s proprietary scoping and utilization tool to aid in profitability tracking of each project.

 

Time Management

  • Work with Creative Director to develop and manage internal creative review timelines among creative teams, Account and Strategy Departments.
  • Enforces accountability and ensures clarity among each project team member regarding their role/deliverable in the process.  
  • Responsible to set up and run the following meetings based upon the agreed timeline:
    • Daily project stand-up / hotlist meetings
    • Creative Briefings
    • Internal Creative Reviews (within creative department and interdepartmental)
    • Go to Production Meeting
  • Works with Client to review and manage project plan/timeline, including relevant client steps and helps them understand the process through completion.

 

Quality Control

  • Leads QC process internally ensuring that at each stage of the project, from initial conceptual stage through to delivery, all assets are approved and signed off by all the appropriate parties.
  • Leads the creation of creative presentation decks, ensuring they are delivered on time with high degree of finish, and archives/tracks all work created by the agency (from presentation decks to final assets).

 

Cost Control

  • Develop project fee structure based on client proposed SOW and partner with Account management to get timely approval.
  • Monitor resource based on project budget/planned hours and ensure that any changes are communicated accurately and quickly and that revised forecasts, change orders, etc. are produced to be approved by Account teams and client.

 

People and Relationship Management

  • Must work in collaboration with all the following departments / disciplines:
    • The Creative Directors / Creative Teams /Design department
    • Business Directors / Account Teams
    • Print Production, Broadcast, Digital, Art Production
    • Finance
  • Manages project communications across all the key disciplines, as listed above, to ensure they are aware of all the creative work, issues and timelines throughout the process and that any changes that occur during the process are communicated quickly and the appropriate action taken.

Skills / Experience Required

A minimum of 2+ years of project management experience, preferably from a traditional advertising agency setting, but CRM / Direct Mail experience is a plus.

Solutions-oriented, always has solution in mind when managing up.

Anticipatory nature.

Seen as an expert in process and time management in client-facing relationship.  

Demonstrated ability to work on multiple projects at once.

A self-starter who is curious.

Extremely detail-oriented and organized.

Excellent writing and communication skills.

Cool, calm, collected and collaborative.

Strong understanding of print, digital and broadcast production.

Strong sense of design and experience with industry leading creative output.

Proficient in MS Office applications, Adobe Acrobat Professional, Google Apps.

Basic understanding of Adobe Creative Suite.

PM certification is a plus.
